Who we are

What we collect

Quote requests: your name, phone number, email address if you give one, address and postcode, the details of what you need, and how you'd like us to contact you. To stop the form being misused we also keep a scrambled (hashed) version of the internet address it was sent from, which can't be turned back into the address.
Customers: your contact details, the property or sites we look after, your schedule and prices, the visits we've made, payments and anything outstanding, and the messages we've sent you.
Visit records: photos of the work at your property. For business sites, the name and role of the person who signs the visit off, and any problems, requests or ratings you send us through your customer login.
Customer logins: your name, email address and a securely scrambled password.

How we use it

To quote, plan and carry out your cleaning, and to record that it was done. This is needed for our contract with you.
To send you reminders before a visit, tell you about weather or access changes, and remind you about unpaid bills. These are part of the service; tell us if you'd rather not get texts and we'll stop.
To keep accounts and tax records, which the law requires.
To keep our systems and your information secure, and to stop misuse of our forms. This is in our legitimate interests.

We don't sell your information and we don't use it for advertising.

Who we share it with

Only the companies that run our systems for us, under contracts that require them to protect it:

Render, which hosts our website and app in the EU (Frankfurt).
Supabase, which hosts our database and backups.
Webex Interact, which sends our text messages, and Resend, which sends our emails.
QuickBooks, our accounting software.

We may also share information where the law requires it.

Cookies

This website sets no cookies and uses no analytics or tracking. When you log in to the Paragon app we set one cookie that keeps you signed in. It lasts 8 hours and is used for nothing else.

How long we keep it

We keep customer records while you're a customer and then for up to six years, so we can deal with any questions and meet tax rules. Quote requests that don't lead to work are deleted after 12 months. Backups are overwritten on a rolling basis.

Your rights

You can ask to see the information we hold about you, to have it corrected or deleted, to restrict how we use it, to object to how we use it, or to have a copy to take elsewhere. Email, call or WhatsApp us using the details above. We'll answer within one month.

If you're unhappy with how we've handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we'd appreciate the chance to put it right first.
